Important Deadlines

All deadlines are 11:59pm CST

  • March 11 - The main speaker must confirm acceptance and acknowledge the honoraria package at https://submissions.agilealliance.org/agile2022/. This is critical.
  • March 20 - Ensure your Title, Speaker(s), Abstract, and Learning Outcomes are accurate in the submission system. This is the final date in which changes can be made.
  • March 21 - We will send a communication to all speakers confirming session dates and times as well as room assignments.
  • March 25 - The official program will be released including titles, descriptions, session dates and times as well as room assignments.
  • April through July - Promote your session and the conference using social media channels (read more and find social media graphics below)
  • April 22 - You MUST have booked your hotel reservations.
  • June 17 - Provide your own publications or other suggestions for the Agile onsite bookstore (this can be added to your registration, click on modify registration to update with these details).
  • July 11 - Be sure that you have included the Agile PPT slide as your presentation cover (we do not require you to share your presentation prior to arrival).

Registration & Accommodations

Registration & Hotel instructions are based on honorarium packages selected during the acceptance process.

Please follow the instructions to secure your complimentary registration using your discount code provided in your acceptance letter.

Note: Your official registration code is designated for exclusive use ONLY by selected conference speakers, DO NOT tweet, share, or otherwise disseminate this code.

Additional Booking Information

  • We expect the hotel to sell out, so please book your room as soon as possible.
  • Room quantities and date availability is based on first come, first served basis.  If the hotel sells out, you may be subject to a higher room rate and the Agile Alliance will only apply your honorarium at the Gaylord Opryland Resort & Convention Centre and only at the conference rate of $245.
  • Please use the link provided. Reservations made directly through the general hotel website may be subject to a higher rate.
  • All reservations must be secured by a valid credit card and a deposit of (1) nights’ accommodation will be charged at the time of booking.

Applying Complimentary Hotel Nights

  • Please book your entire stay and we will arrange to deduct the complimentary nights from your bill upon checkout. For example, if you are planning to stay for 6 nights, we will deduct for 4 nights upon checkout.
  • Agile Alliance will only apply your honorarium at the Gaylord Opryland Resort & Convention Centre and only for the negotiated conference rate of $245. Should you wish to upgrade or extend your stay, you are responsible for any difference in room rate and/or nights in addition to your honorarium.

Travel Planning

  • We recommend arriving on Sunday, July 17th, [Registration opens at 15:00] and departing on Friday, July 22nd [Conference ends at 12:00]

Additional Room Block Weekend Prior

Please note there are NO nights available at the Gaylord for Friday, July 15, 2022 and Saturday, July 16, 2022 only prior to the conference.  We have arranged for additional accommodations for those nights at the Inn at Opryland. Reservations Center at 1-800-901-4211 and mention Agile Alliance Room Block to reserve a room at our group rate.

The cut-off date is Friday, June 17, 2022

Shuttle Services:  Gaylord provides a complimentary shuttle for our guests. This shuttle makes a loop between the Inn at Opryland, the Gaylord Resort and the Opry Mills Mall and back. The shuttle begins at 7:50am until 7:00pm daily and runs every 30 minutes.

Equipment & Supplies

Each room will have a standard set of equipment & supplies [listed below].

  • Data Projector & Projection Screen
  • Microphones & Audio – (2) Wireless lapel/handheld microphones & Audio capabilities will be provided.  Note: If room is small, audio capabilities will be provided however, microphone may not be necessary.
  • Wireless Internet – Access will be provided throughout the meeting space & public areas of the conference!
  • Laptops – Speakers are required to provide your own laptop. If you do not have a laptop computer then please make arrangements to borrow a laptop.
  • Supplies – (1) flipchart, paper pad and (2) markers.  Note:  You are able to tape flip chart paper on the walls using blue painters tape [low tack].
  • Additional Supplies – The speaker business center will have limited supplies [ie. sticky notes, cue cards, etc]. You can request these supplies at the speaker business center. Anything supplies that are a unique request to your session please bring with you to Nashville.

Session Handouts & Reference Materials

Session Handouts are available for printing onsite at the Speaker Business Center.  The limit for printouts is maximum (10) black & white pages front and back.

You may provide a electronic copy of your PPT for attendees prior to the conference if you would like attendees to have access to your PPT (must be in a PDF format) or any handouts (must be in a PDF format).  How do you share?  Please login to the registration portal and upload either document or both.  

Post Conference:  Please provide your most up to date PPT (must be in a PDF format) as soon as you finish presenting onsite. You can bring a copy of it to the Speaker Hub (on a USB for us to copy) or upload using the registration portal.

Speaker Business Center

The Speaker Business Center will be located in the registration area [Lobby Level] of the Gaylord and will be open from 7:30 – 17:30 Daily.

We have created an Agile2022 branded PPT template for you to use for your presentation [optional].  All projectors use 16:9 aspect ratio.

Please note that you must use the first title slide for your presentation but it is optional to use the template for the rest of your presentation.
